How to Create New Rental Booking

Rentals help you manage products that have duration-based, inventory-driven bookings, such as vacation properties or equipment. Entering your bookings in the system is key to helping you effectively keep track of your availability and stock. Let's learn how to handle reservations in the system! 

Creating a Booking

Head to the Calendar View section and select Rentals from the drop-down menu.

Click + New in the top right corner in the top right corner.

Alternatively, click and drag across available future dates or time slots to open the booking creation panel with pre-filled listing product, start, and end details.

Select the contact from the Name drop-down menu, which will automatically fill in the phone and email fields.

Choose a listing product for the booking.

Use the calendar selector to define the starting and ending dates, and if your listing doesn't have a preset rental time, set the starting and ending time for the booking.

Define the total rental pieces that will be occupied during the booking.

To add other products to the booking, click + New Listing and repeat the previous steps.

If there are any special requests or comments you want to pass on to your team, add them in the Internal Notes section.

Once ready, you can click Create Booking to add it to your calendar.

Existing Bookings

Once a booking is added to your calendar, you can hover over it to get a quick overview of its details or click View Booking to access it.

In the Booking details, you can modify the existing booking or collect payment for it. Let's learn how.

Editing

Click the pencil icon to access the editing module.

For the products included in the original booking, you can modify the starting and ending times (1) or the total quantity included in the reservation.

To add other products, click + New Listing and configure it as normal.

Additionally, you can modify the status of the booking. Your options are:

  1. If the rental is in progress and the customer is using the product, “Mark as Active” allows you to note it in the system.
  2. Use “Mark as Complete” to change the booking's status to fulfilled.
  3. The three-dot menu allows you to cancel the booking or revert it to an unconfirmed status if needed.

Once satisfied with your modifications, click Save Changes.

Collecting Payment

You can collect payment inside the editing module or by switching to the payments tab, indicated by a dollar sign.

Open the Actions dropdown and select Collect Payment.

The full amount will be entered by default, but you can change it if needed when collecting partial payments.

Click Collect Payment Now to proceed to the payment options.

Select your payment collection method and enter the payment details.

The booking flow improves clarity and usability when managing reservations, using the calendar view as a central touch point that illustrates your upcoming bookings, leading to a more efficient team and happier customers. We hope this helps you increase your rental's profits and lower your workload!
